MANAGEMENT of surplus stock through our virtual warehouse

In the oil and gas industry, certain equipment is ‘mission critical’ and operations cannot continue when these components or parts brake down. For this reason and the long manufacturing lead times required to order and obtain these products, almost all companies in the industry hold more or less these same items in stock. Usually, not only one item is kept of an item that may only require replacement once every few months or years. The stock lies in a warehouse as ‘surplus stock’ and this ‘dead capital’ has little value to the business.

SRM offers companies an innovative solution to this matter. SRM holds record of ‘surplus stock’ of various companies on our database. Where a participating company develops an emergency or needs a part they do not have in stock, the product is bought from another participant who we know has the product in stock. Companies participating in this initiative not only reduce their own surplus stock by on-selling unnecessary equipment, they are able to draw from other players in the same industry. Surplus stocks are reduced and significant savings are shown. The process benefits all participants.

CONTRACT MANAGEMENT _____________________________________________________________________________

Controlling your contracts effectively

As the number of organisations within companies that need to purchase goods and services grows, fulfilling those purchase orders on pre-negotiated contract rates becomes increasingly important. In order to accomplish this, companies need to extract data from all procurement and contract systems so that the products can be purchased from the contracted suppliers at the correct price.

Service Features

SRM's Contract Management service is a web-based application that supports sourcing and procurement processes by providing an online platform for contract creation, negotiation, and management, compliance and performance management, contract related financial processes (e.g. payments) and risk management.
This provides an end-to-end online Contract Management Solution with template based contract creation which is extremely flexible with user defined business rules and customised workflow. Various types of contracts can be managed and it provides a corporate repository of clauses and contract templates. Key features include:

  • Template-based contract creation

  • The importing of Request for Quote from other online negotiation and tender tools into the Contract Management Module

  • Cloning of previous contracts

  • Related documents can be scanned and attached

  • Online negotiation and confirmation with suppliers

  • Scoring and automated measuring capabilities

  • Contract calculations

Process

The contract management solution assembles standards based business processes to create a contract compliance solution. Currently there are three steps in the contract compliance process for most companies.

1. Create the contract

2. Distribute the contract to the decentralised manufacturing plants that are going to buy the items.

3. Ensure that the organisation is getting the appropriate rebates or paying the negotiated price.

SRM offers a service to ensure that rebates are managed properly and collect rebates on behalf of the client. SRM retains a percentage of the rebates collected.
The management of contracts is made easier through:

  • Notification and alerts for required tasks and events or when a contract is nearing the end of its term

  • Performance and compliance monitoring

  • Renewal, amendments and change management

  • Business Intelligence and Management Reporting

Capital benefits

  • Better information management relating to commercial activities e.g. negotiation. All information is captured and stores centrally.

  • Streamlined processes that result in reduced operating expenses.

  • Maximised the benefit of revenue and/or cost savings potential through event management and performance and compliance monitoring.

  • Improved relationships with all stakeholders including personnel, customers and suppliers.

  • Overall Strategic sourcing benefits apply e.g. maximize buying power through better managed contracts.

  • Business Intelligence through proper analysis of information about contracts and contracted activities.
